How to fill up AirAsia X refund form : Proof of Debt (POD)

Last year, I planned a few trips overseas with AirAsia X but unfortunately the Covid-19 pandemic ruined all my travel plans. All my trips were cancelled and I was offered a Credit Account instead of a refund. However, just a few days ago, I received an email from AirAsia X about the proof of debt (POD) exercise for refunds. In short, it means that now AirAsia X allows their passengers to claim refunds.

How to fill up AirAsia X refund form : Proof of Debt (POD)

The company emailed a letter and the POD form to customers. They were also assigned a unique E-filing ID and required to submit the form by 7 April.

Steps to fill up the POD Form:

  1. Download POD Form (print it out), note down the unique E-filing ID given in the email.
  2. Visit https://taxinvoice.airasia.com/ to get your invoice details.

To avoid any confusion, fill in the information using block letters, eg. KHAIRUL AZMAN instead of Khairul Azman.

There are also paragraphs, namely paragraph 3 and 4 which you need to cut out depending on who you’re claiming for. To cut out, simply take a pen and a ruler, then strike out the whole paragraph. So it should look like this.

  • Claiming for yourself: Cut out paragraph 3 and 4
  • Claiming for someone else: Cut out paragraph 4
  • Claiming on behalf of a company: Cut out paragraph 3

* If claiming for yourself, put in “me.” If claiming on behalf of someone else, such as your child, put in their name and IC number. Eg. MATLAN BIN KHAIRUL (IC NO. 876543-21-1234). If it’s for a company, put in the company name.

** This is the reason AirAsia X owes you money. Put in “Cancellation of [FLIGHT], [FLIGHT NUMBER], [BOOKING NUMBER].

Leave the bottom of page 3 blank, as you will fill that in when you get it signed by the Commissioner of Oaths (Pesuruhjaya Sumpah).

At the top of page 4, insert the e-filing number that was included in your e-mail. As for the box, fill in the detailed breakdown of what you’re claiming. 

  • Date: Insert the date you bought the ticket
  • Consideration: Fill in the flight, flight number and booking number
  • Amount: RMXXX.XX
  • Remarks: Put in any information on the supporting documents you’ve attached

If there isn’t enough space in the box to fill in the breakdown, send an attachment with the additional information.

The rest of the notes pretty much reiterate the terms and conditions—include any proof to strengthen your claim, include any other information that may be relevant to you, and so on.

  1. After you fill in the form, take it to the nearest Commissioner of Oaths for them to sign and stamp it. You can also take it to someone with similar qualifications as a Commissioner of Oaths. [Nearest Commissioner of Oaths]
  2. Your duly attested POD Form together with copies of supporting documents to substantiate your claim is to be sent to and received by AirAsia X on or before 7th April 2020. The said duly attested

POD Form together with copies of supporting documents must be submitted by hard copy by mail to AirAsia X Berhad (POD), RedQ, Jalan Pekeliling 5, Lapangan Terbang Antarabangsa Kuala Lumpur (klia2), 64000 KLIA, Selangor Darul Ehsan, Malaysia.

  1. You may, in addition to sending the hard copy by mail, complete the e-form using the following link: https://forms.gle/TC4vBHYxeifUB4zR9.

    • You need to submit the form online, email the soft-copy (scan all the hardcopy) and post the hardcopy to the address.

    Would the commissioner of oath charge anything for the attestation?
    Will I not be paid if I don’t follow this process?
    Will we get paid for these expenses?

      -I’ve done mine for RM10

      -According to the form from AAX “In the event of any failure on your part to lodge your duly attested POD Form by the Relevant Date to our physical address set out in paragraph 2 above, AAX Group reserves the right to rely on its record to ascertain the amount of debt owed to you for the purpose of the Proposed Debt Restructuring. For the avoidance of doubt, soft copies submitted by electronic mail/through the link will not be relied on by AAX Group and you must return the hard copy by mail to us at our physical address as set out in paragraph 2 above by the Relevant Date.”

      Will we get paid for these expenses?
      -Don’t think the RM10 will be reimbursed.

        my claim is for AUD220, and the registered post is costing 17AUD and would reach the address only in 28 days, hence I am not sure if it is worth it.

        Could you please suggest?

        • Hey, then I think it will be after the Relevant Date to AAX physical address as stated in the POD. Maybe you can just wait for the next update from AAX or you can try to email them.

          What happens if I missed the submission by the Relevant Date?
          If you missed the submission by the Relevant Date to our physical address at RedQ, Jalan Pekeliling 5, Lapangan Terbang Antarabangsa Kuala Lumpur (klia2), 64000 KLIA, Selangor Darul Ehsan, Malaysia, AAX Group reserves the right to rely on its records to ascertain the amount of debt owed to you. You will still be included in the POD exercise.

  4. Hi I did not received my e-filing no. vide email on 17/3/2021. I received an email only today on their POD exercise. How do I obtain the e-filing no.?

        What supporting documents do I need to attach together with the POD form?
        Please provide copies of your booking confirmation, tax invoices, statement of account(s) – for suppliers/vendors only, and/or other documents which could substantiate the total amount claimed. Please note that the documents may also be required for a review by other parties including the independent adjudicator and/or Chairman of the Court Convened Meeting (“CCM”) in the event of a dispute.

        I did not receive any email from air Asia with e filing number. I have 5 bookings to reclaim.
        How can I fill the POD form without e filing reference number?

          Then you might need to check your junk mail or the email that registered with AAX for your booking. If still can’t find you might need to reach out to AAX support [email protected]

          After we’ve submit the e-form, there’s a noted stated that we need to send the soft-copy to the email specified according to the E-Filling ID.

  8. Dear Saimatkong,
    1. my son in law paid for me, for to and fro so what should i write in ‘truly indebted to……
    2. Booking no. is only one for COK( Cochin) to Melbourne AVV and Melbourne to COK with KLIA stop over. So should i fill in all flight details in ‘Consideration’. Then amt for each flight i don’t know.
    Will u pl suggest.. thank you!

      1. Should be your son in law, as you need to provide all supporting documents (booking confirmation, tax invoices, statement of accounts). However, you might want to clarify with the Commissioner of Oaths.

    If there are a few guests in the booking number, all guests need to fill up the form or only the person who do the booking needs to fill up the form. TQ

  10. Hi, AAX really didn’t give us ample time to submit the documents since hard copies are also required to be submitted.

    From the above, please correct me if I understand the steps wrongly:

    1. Get the POD completed and attested.
    2. Submit the hardcopies to the designated address;
    3. Submit the soft copies via their google form;
    4. Email the soft copies as well.

    I’m booking the flight for 3 adult pax since we 3 are siblings. Is it possible one of my sibling claimed under their name on the form? Plus the payment is under my dad card, so its not for self payment claim.
